The following documents (per person) are required for us to obtain a visa on your behalf:

Visitor Visa (Tourism):

  • Original passport (valid for at least 6 months beyond the departure date, with at least 1 blank page)
  • 1 passport photo (must be original, color, white/non-colored background, photo paper)
  • Completed visa application form
  • Employment confirmation (employment contract) / study confirmation (issued within the last three months) (original and copy)
  • Bank statement (last three months including current account balance) to prove sufficient financial means
  • Flight details (the purchase of an airline ticket is not required. Therefore, the embassy assumes no responsibility if already booked flights cannot be used due to delays or rejection of the application)
  • Schedule of Stay (in English or Japanese). Please describe as precisely as possible what you plan to do on each day of your stay in Japan
  • Current Austrian registration certificate/proof of residence (only for non-Austrian citizens) – original only! (will be returned later)
  • Residence permit (color copy – only for non-EU citizens!)
  • Order form for ARC Consulting (ONLINE / PDF)

 

Business Visa:

  • Original passport (valid for at least 6 months beyond the departure date, with at least 1 blank page)
  • 1 passport photo (must be original, color, white/non-colored background, photo paper)
  • Completed visa application form
  • Employment confirmation (employment contract) (issued within the last three months) (original and copy)
  • Bank statement (last three months including current account balance) to prove sufficient financial means
  • Company guarantee letter covering travel expenses: (i) Letter of Mission and/or (ii) proof of financial support for the trip
  • Flight details (the purchase of an airline ticket is not required. Therefore, the embassy assumes no responsibility if already booked flights cannot be used due to delays or rejection of the application)
  • Schedule of Stay (in English or Japanese). Please describe as precisely as possible what you plan to do on each day of your stay in Japan
  • Letter of Reason for Invitation (in English or Japanese) from Japan (*Only if the guarantor in Japan covers the travel expenses, the following documents are also required: (i) Letter of Guarantee (in English or Japanese) and (ii) company registration extract or company/organization profile
  • Current Austrian registration certificate/proof of residence (only for non-Austrian citizens) – original! (will be returned later)
  • Residence permit (color copy – only for non-EU citizens!)
  • Order form for ARC Consulting (ONLINE / PDF)

Temporary Visitor / Conference Participation:

  • Original passport (valid for at least 6 months beyond the departure date, with at least 1 blank page)
  • 1 passport photo (must be original, color, white/non-colored background, photo paper)
  • Completed visa application form
  • Employment confirmation (employment contract) (issued within the last three months) (original and copy)
  • Salary slips (last three months) or bank statements (last three months including current account balance) to prove sufficient financial means (original and copy)
  • If the company covers the travel expenses: company guarantee letter covering travel expenses: (i) Letter of Mission and/or (ii) proof of financial support for the trip
  • Flight details (the purchase of an airline ticket is not required. Therefore, the embassy assumes no responsibility if already booked flights cannot be used due to delays or rejection of the application)
  • Schedule of Stay (in English or Japanese). Please describe as precisely as possible what you plan to do on each day of your stay in Japan
  • If applicable, Letter of Reason for Invitation (in English or Japanese) from Japan (*Only if the guarantor in Japan covers the travel expenses, the following documents are also required: (i) Letter of Guarantee (in English or Japanese) and (ii) income certificate [所得証明書 income certificate、課税証明書 tax declaration certificate, 預金残高証明書 certificate of deposit balance] of the guarantor (if a company or organization, then a company registration extract or company/organization profile)
  • Detailed information about the conference and organizers in Japan
  • Current Austrian registration certificate/proof of residence (only for non-Austrian citizens) – original! (will be returned later)
  • Residence permit (color copy – only for non-EU citizens!)
  • Order form for ARC Consulting (ONLINE / PDF)

Consular Fees:

The fee depends on the applicant's nationality (upon request)
